The administrative assistant position is the front-office "backbone" of our practice, managing patient interactions, scheduling, and clerical tasks to ensure smooth operations. Key duties include greeting patients, managing scheduling, managing client billing, insurance verification, and maintaining records.



Key Responsibilities:

  • Front Desk Management: Greeting patients, answering phones, directing calls, and handling correspondence.

  • Scheduling: Arranging patient appointments, follow-ups, and procedures, as well as managing staff calendars.

  • Patient Coordination: Helping with intake forms, explaining procedures, and assisting with referrals.

  • Patient Records & Data: Updating and maintaining electronic health records (EHR), patient histories, and insurance information.

  • Billing & Insurance: Processing payments, handling billing inquiries, and communicating with insurance companies.

  • Office Operations: Ordering supplies, organizing files, managing mail and package deliveries.


While this position interacts with patients on a daily basis, it does not provide direct patient care, focusing instead on the administrative support needed for providers to function effectively.

Work-Time Requirements

  • Must maintain a consistent weekly schedule

    • Full-time: 30 or more hours per week

    • Part-time: 29 or less hours a week

  • Attend all weekly required meetings

  • Provide in-office services at least two days per week


Operations

Office hours in all locations are 8:00am to 8:00pm Monday through Friday. This means that staff are not permitted to work client-facing hours outside of office hours. Each staff member creates their own availability within these operational hours in collaboration with the practice’s CEO.



Compensation & Benefits Package

  • $22.00 per hour paid bi-weekly

  • Paid time off totaling 40 hours per year (useable after 90-days of employment)

  • HIPAA compliant EMR, phone number, and email address

  • Collaborative team environment

Additional Full-time Benefits Package

  • Medical, dental, and vision insurance with 50% premium contribution from the practice, dependents included in coverage benefits

  • 401k with 4% match

Lotus Bloom Psychology is a thriving and expanding private practice dedicated to providing expert psychological services. We specialize in the diagnosis and support of individuals with ADHD, Autism, and Learning Disabilities while also offering comprehensive treatment for co-occurring conditions such as anxiety disorders, depression, eating disorders, substance use, family conflict, trauma, grief, and stress related to education or work. We proudly serve a diverse clientele across the entire lifespan.


We offer a range of services, including diagnostic assessments, focused neuropsychological testing for differential diagnosis, individual therapy, group therapy, and family support. Locations

Our practice currently operates fully out of our Lombard office. We have plans to expand to a physical office in Naperville within the coming year. This position is based in Lombard.



All office spaces provide the following:
